Onboarding Guide

Get your agency up and running on Certifable in under an hour.

Step 1: Create Your Agency Account

Sign up for a free trial. You'll be asked for your agency name, certification standard(s), and primary contact. This takes about 2 minutes.

Step 2: Configure Your Brand

Upload your agency logo, set your brand colors, and customize your client portal URL. Your clients will see your brand — not ours — throughout their experience.

  • Logo (recommended: 400×400px PNG with transparent background)
  • Primary brand color (used for buttons, links, and accents)
  • Custom subdomain (e.g., youragency.certifable.com)

Step 3: Set Up Document Requirements

Define what documents your clients need to submit for certification. Common examples:

  • Ingredient lists and specifications
  • Supplier declarations
  • Facility floor plans
  • Previous audit reports
  • Quality management procedures

You can create document categories, set which are mandatory vs. optional, and configure automatic reminders for expiring documents.

Step 4: Invite Your Team

Add your reviewers, auditors, and admin staff. Each role has appropriate permissions:

  • Admin: Full access to all settings, clients, and reports
  • Reviewer: Can review submitted documents and approve/reject
  • Auditor: Can conduct audits, submit reports, and access mobile tools

Step 5: Invite Your First Client

Send an invitation to a client company. They'll receive a branded email with a link to create their account and begin submitting documents. You can also bulk-import existing clients via CSV.

Step 6: Configure Email Templates

Customize the automated emails your clients receive at each stage — document reminders, audit scheduling notifications, certificate issuance, and renewal alerts. Use the rich text editor to match your agency's tone and include attachments like pre-audit plans.

Step 7: Set Up Certificate Templates

Design your certificate layout. Upload your agency seal, configure fields (company name, products, facility, validity dates), and set expiry rules. Certificates are generated as tamper-evident PDFs with QR verification codes.
